Let’s face it: moving IT equipment is like trying to juggle chainsaws on a unicycle. Blindfolded. It’s fiddly, fragile, full of acronyms, and when it all goes wrong, people panic like someone’s unplugged the life support machine. Which, in the corporate world, is pretty much what you’ve done.
So, before you send Accounts in with a cardboard box and some wishful thinking, here’s what you really need to know about moving your precious servers, workstations, and all those trailing spaghetti tangles of cabling.
1. Plan Like You’re Launching a Rocket
You wouldn’t launch a Mars mission without checking the fuel, right? Same goes for office relocations. Audit everything. Catalogue every machine, every cable, every box . Know what it does, where it lives, and what depends on it.
2. Back It Up. Then Back It Up Again.
Before anyone touches anything, back it all up. Then do it again, and store it somewhere safe. Cloud storage, external drives, USBs hidden in a biscuit tin marked “Old Pencils” – whatever works. If the move kills a hard drive, you’ll thank yourself later. Also don’t assume your staff are backing everything up.
3. Professional Packing Is Not Just for Fine China
Servers aren’t designed to be banged about like a wheelbarrow full of bricks. Use anti-static bags, foam-lined crates, and proper labels. Anddon’t just chuck monitors into the back of a van with someone’s half-eaten tuna sandwich.
Label cables meticulously. Colour-code if you have to. Photograph setups before dismantling – it’s not cheating, it’s survival.
4. Temperature and Vibration Matter
Servers are like grumpy pensioners – they hate being moved, they hate getting hot, and they hate being rattled around. Keep them cool, cushioned, and calm. Your moving vehicle should feel more like a luxury sedan than a tipper truck. Suspension is king.
5. Timing Is Everything
Schedule the move out of hours. Nights. Weekends. Bank holidays. No one wants to see the office grind to a halt because the Wi-Fi is in a cardboard box somewhere on the M56. Coordinate with IT to minimise downtime, and test everything once it’s reconnected.
6. Insurance Is Not Optional
Accidents happen. Drinks get spilled, things get dropped, files go missing. Make sure your moving firm has the right cover for high-value tech. And no, your mate with a van doesn’t count.
7. Don’t Let the Intern Touch Anything
Get experienced professionals. This isn’t a time for on-the-job learning or YouTube tutorials. Pay for expertise. It’ll cost less than replacing a server rack accidentally wedged in a lift shaft.
In short, relocating IT is one part chess, two parts bomb disposal. Do it properly, and no one will notice. Mess it up, and you’ll be the reason the company’s held together by sticky notes for a week.
